To support our Enrichment Providers in delivering high-quality classes, Togetherhood offers a materials budget for purchasing class supplies. This policy outlines the process for reimbursement and the guidelines for using our virtual credit card.
1. Materials Purchases and Reimbursement
- Reimbursement Process: Most EPs purchase materials upfront, submit receipts through our Materials Reimbursement Form, and receive reimbursement in their next paycheck. Please ensure that purchases align strictly with class materials as outlined in your curriculum.
- Reimbursement Limit: Each class has a finite, pre-established budget (if one is provided), and spending is expected to remain within this limit. Any spending beyond the budget will not be reimbursed.
2. Virtual Credit Card for Eligible EPs
- Eligibility: EPs who have completed at least one full term with Togetherhood and have demonstrated reliability are eligible, upon request, to receive a virtual credit card pre-loaded with their materials budget, if their materials budget for the term reaches or exceeds $400. This card is intended solely for purchasing class materials.
- Card Issuance Timeline: Once a virtual card request has been submitted and approved, the EP will receive the card within two weeks from the request date.
- Approved Purchases: The credit card may only be used for class materials.
- Examples of misuse include, but are not limited to, using the card for transportation, personal food items, or any non-class-related expenses.
- Record Keeping: Providers are required to submit receipts for all purchases made with the virtual card through the virtual card portal. This helps ensure responsible spending and aligns with Togetherhood's financial reporting practices.
3. Misuse of the Togetherhood Credit Card
If an EP misuses their Togetherhood credit card:
- First Occurrence: Togetherhood will communicate with the EP to clarify that this use of the materials budget is not permitted. Misused funds will be deducted from the EP’s next payment.
- Repeated Misuse: If misuse occurs a second time, the EP’s credit card privileges will be revoked, and they will need to resume upfront purchases with receipt submission for reimbursement.
