Class Cancellation Policy

We greatly value the dedication our Providers put into their classes. To ensure their preparation and commitment are recognized, this policy addresses the financial strain of last-minute cancellations, fostering fairness & support for our Providers.

Purpose

We recognize that last-minute cancellations can disrupt schedules and impact income for our providers. Various factors, often beyond our control, can lead to such cancellations. This policy aims to:

  • Reduce the financial impact of last-minute cancellations on providers
  • Acknowledge the effort and preparation providers invest in their classes
  • Foster a fair and equitable working environment for our enrichment providers

Cancellation Compensation

Eligibility:
This policy applies to scheduled classes that are canceled by the school partner or Togetherhood within 24 hours of their scheduled time.  *Please note that cancellations due to weather-related school closures are not eligible for compensation under this policy.

Compensation Rate:
Providers will still receive 50% of the normal session rate for class cancellations made within 24 hours of the scheduled start time of the session. This compensation is covered directly by Togetherhood to mitigate the financial impact on our providers and reflect our commitment to valuing their time and dedication.

Notification:
Providers will be promptly notified of any cancellations via email and/or text message to ensure clear communication.

Payment:
The cancellation compensation will be included in the provider’s payment for the following pay period.


Inclement Weather Exception

In the event of inclement weather, school partners may decide to close schools or cancel after-school programs to prioritize the safety of students and staff. Cancellations due to weather-related school closures are not eligible for compensation under this policy, as they are outside of Togetherhood’s and the school partner’s control. Providers will be notified of weather-related cancellations as soon as possible via email and/or text message. We appreciate your understanding and flexibility in these situations.


Makeup Classes

In some cases, the school partner may choose to schedule a makeup class to compensate for the one that was canceled. If this occurs, the following steps will be taken:

  • Notification: Togetherhood will inform the provider about the makeup class and provide details regarding the proposed date and time. If the Partner speaks to the Provider about the makeup session, the Provider should ask the Partner to notify Togetherhood directly to make the arrangement.
  • Response Deadline: Providers must notify Togetherhood within 3 days of receiving the notification whether they are available to teach the makeup class.
  • Compensation: If the makeup class is scheduled and confirmed with the provider, they will receive their full session rate for teaching it. If the provider is unavailable, Togetherhood will find a substitute for the session.
